Trialo Privacy Policy

Last updated: October 2026

1. Who we are

Trialo is an enrolment system for class-based businesses, such as cheer gyms. It helps a business follow up families from their first enquiry through to a trial class and enrolment.

Trialo is a business name of Shire Elite Cheerleading Pty Ltd (ABN 14 601 533 304) ("Trialo", "we", "us" or "our").

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. Who this policy covers

  • Businesses that subscribe to Trialo (such as gyms), and the staff who log in to it.
  • Families — parents, guardians and participants — whose details a business enters into Trialo, or who book a trial through a business's online booking form.
  • Visitors to trialo.io.

3. Our role with family information

When a business uses Trialo, that business decides what family information it collects and how it uses it. The business is responsible for its own handling of that information under its own privacy policy.

We store and process family information on the business's behalf, so we can provide Trialo to that business. Each business's information is kept separate from every other business. We don't sell it, we don't use it to market Trialo, and we don't share it with other businesses, except as de-identified benchmarks that can't identify anyone (see section 5).

If you're a parent or guardian with a question about your information, please contact the business first. We'll help them respond.

4. What we collect

From businesses and their staff:

  • business name, contact details and locations
  • staff names, email addresses, roles and login details (including Google sign-in, if used)
  • subscription and billing details — payments are processed by Stripe. Card details are entered on Stripe's own secure pages and never pass through Trialo, and we don't store them.
  • a record of actions taken in the app (the audit log), so activity can be traced and problems fixed

About families (entered by the business, or through its booking form):

  • parent or guardian name, email address and mobile number
  • participant name, date of birth and age
  • enquiry and trial details, such as the program, session and location, how the family heard about the business, attendance, booking and payment status, and whether they enrolled
  • notes the business's staff add, a record of the emails and texts sent and when, and whether the family has unsubscribed from follow-ups

From website and app visitors:

  • your IP address, when your browser loads the country-flag icons in phone number fields
  • cookies that keep you securely signed in

We don't use analytics, advertising or tracking cookies, and there are no third-party tracking scripts on our website or app.

5. How we use it

  • to provide Trialo — storing records, creating follow-up tasks and sending emails and texts on the business's behalf
  • to manage subscriptions, billing and support
  • to keep Trialo secure, investigate problems and keep an audit trail
  • to produce Smart Insights for business owners (see section 7)
  • to create benchmarks, such as average enquiry, trial and enrolment rates, from de-identified information combined across businesses. We show these benchmarks to other businesses that use Trialo. No business or family can be identified from them.
  • to tell businesses about changes to Trialo, their account or these policies
  • to meet our legal obligations

6. Emails and texts to families

Trialo sends emails and texts on behalf of the business, in the business's name. The business decides which messages are sent.

Every follow-up email and text includes an unsubscribe link. Using it stops follow-up emails and texts from that business straight away, without affecting messages from any other business. The business may still phone the family about their enquiry, and families can also ask the business directly to stop. Messages confirming or reminding them of a booking may still be sent.

7. Automated processes and AI

Trialo automatically creates follow-up tasks and schedules messages based on where an enquiry or trial is up to — for example, after a trial has been attended. These processes decide when a family is followed up. They don't decide whether anyone can join a business. That is always the business's decision.

Smart Insights uses an AI service (OpenAI) to highlight trends for business owners. We send it only business metrics, such as percentages, averages and counts, with labels such as program, class, location, lead source and staff names. We never send children's or parents' names, contact details, dates of birth, notes or customer records. OpenAI doesn't use this data to train its models. It may keep it for up to 30 days to provide the service and detect abuse, then deletes it.

8. Where your information is stored and who we share it with

Trialo's data is stored in Australia, in Amazon Web Services' Sydney region. This includes the database, backups, logs and uploaded images such as logos. Emails are also sent through Amazon Web Services.

We use these service providers to run Trialo:

Our development contractor, based in India, may access Trialo's systems to build, maintain and support it.

We only give providers the information they need to do their job. We may also disclose information when the law requires it.

9. How we keep it secure

  • each business can only see its own information
  • staff access is limited by role
  • data, including backups, is encrypted when stored (AES-256)
  • significant actions are recorded in an audit log

If a data breach is likely to cause serious harm, we'll tell the affected businesses promptly and notify the Office of the Australian Information Commissioner (OAIC) and affected people where the law requires it.

10. How long we keep it

We keep a business's information while its account is active.

A business's account becomes read-only when its free trial ends without a subscription, when a payment can't be collected, or at the end of the period it has paid for after it cancels. We keep its information for 30 days from then, so it can come back without losing anything, and we email the business 5 days before deletion. After 30 days, all of that business's information — including family records — is automatically and permanently deleted. Backup copies are cleared within a further 7 days.

A business can ask us to delete its information sooner by emailing hello@trialo.io.

11. Accessing or correcting your information

Families: please ask the business you dealt with. They can view and update your details in Trialo.

Businesses and staff: you can update most details in the app, or email hello@trialo.io. We'll respond within 30 days.

12. Children

Trialo is used by businesses and adults. Children don't use Trialo or have accounts. A child's details are entered by the business or by a parent or guardian when booking a trial.

13. Questions and complaints

Email hello@trialo.io. We'll respond within 30 days. If you're not happy with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

14. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page. If we make a significant change, we'll email the businesses that use Trialo.
